Process Modeling Made Easy

Any person around you knows about certain processes that are important in her daily life. For instance, if you go to a supermarket, you can find store restockers who need to refill the shelves that get empty, and they follow a particular process for that. Handling customer claims in an online shop also requires a predefined process. When asking for a loan in a bank, a clear defined process is in the head of the person who you are talking to. In the construction of a building, every single day several processes are followed… We could continue providing examples of this over and over …

Knowing your organization processes in which you are involved is a must. This enables to establish clear goals and guarantees, and to boost collaboration when several persons or systems need to interact to successfully complete a particular process. This is why organizations often have a digital repository of up-to-date process descriptions … and that’s why, in the last 30 years, several software solutions for process modeling have been around. In the early 2000s, the standard Business Process Modeling and Notation (BPMN) was established as the de-facto language for describing processes in organizations. The new version (BPMN 2.0), which arised back in 2010, is adopted by most of the process modeling vendors.

BPMN has successfully enabled organizations to make a clear step towards automation. Still, this standard is only accessible to very technical roles. In our examples of real processes above, none of the roles (store restocker, call center operator, bank worker, builder) seems to have the profile and technical background, but neither the time, to understand completely the 538 pages of the BPMN 2.0 specification. This in practice inevitably prevents these people to describe in BPMN 2.0 the process they are involved in, although they may be the best option to accurately describe the process…

Tell your process!

Important barriers any of the aforementioned roles may encounter when using the current solutions for modeling processes in BPMN 2.0 are:

  • Don’t know the BPMN 2.0 semantics, so there is a huge gap between the process in their heads and the corresponding one in BPMN 2.0.
  • They are not used and do not have the time to learn complex software solutions to model processes in BPMN 2.0.
  • Even if they manage to overcome the previous two issues, they are never sure whether their obtained model is correct and satisfies the standard, or if there is a way to improve it.

This by no means makes them unsuitable for process modeling! It’s simply that the current software solutions were not considering them as potential modelers. But if you ask them to describe the process schematically (in text, with an image, or step-by-step), it will be very easy for them to accomplish the process modeling task. They will be able immediately to tell sentences like:

add activities A B and C to the process

“A precedes B”

“Branch of A is performed by Human Resources”

“Branch of A repeats”

“C is in conflict with the loop of A”

“C is performed by Sales”

So if there was a technology that accepted these sentences (by written text, or by voice), and converted them into a valid, high-quality process model in BPMN 2.0 standard, everything would be way easier!
